This Refund Policy explains how refunds work for RootSystems' subscription products, including Offboarding Proof, TPRA, the HIPAA Compliance Tool, and AI Compliance Readiness.
1. Free Trials and Free Tiers
Where we offer a free trial or free tier, you can use the Service at no cost during that period without providing payment information, unless stated otherwise at signup. No refund is applicable during a free trial, since no payment has been made.
2. Subscription Refunds
If you're not satisfied with a paid subscription, contact us at therootsystems.ops@gmail.com within 14 days of your initial purchase or a renewal charge, and we'll issue a full refund, no questions asked.
Outside of this 14-day window, refunds are considered on a case-by-case basis. We're happy to discuss your situation directly, our aim is for you to be genuinely satisfied with the value you're getting, not to hold you to a rigid policy if something's gone wrong on our end.
3. Cancellations
You can cancel your subscription at any time from your account settings. Cancelling stops future billing; you'll continue to have access to the Service through the end of your current paid billing period. We do not provide partial refunds for unused time within a billing period outside of the 14-day window described above.
4. How Refunds Are Processed
Approved refunds are issued to the original payment method used at purchase, through our payment processor. Please allow up to 10 business days for the refund to appear, depending on your bank or card issuer's processing times.
5. Non-Refundable Circumstances
We may decline a refund request if:
- The request falls well outside the 14-day window and there's no service issue on our end
- The account shows evidence of abuse of the refund policy (e.g. repeated subscribe-refund cycles)
- The subscription was purchased through a reseller or third party, in which case their refund terms apply
